Hosting and cloud services come on top: for an SME tool with a few hundred users, a typical monthly bill is tens to a few hundred euros (assumption; it depends on traffic, storage and backups).

Method

How the range is calculated

Every figure on this page comes from five steps you can redo in a spreadsheet.

  1. Each component has a band of hours for a senior team: internal CRM 240–440 h, customer app 200–400 h, custom online store 280–520 h, internal dashboard 120–280 h, integration between systems 80–200 h.
  2. Customer-facing components are multiplied by the platform: web ×1, web plus a cross-platform app ×1.35, web plus native iOS and Android ×1.7. Each feature adds its own hours (for example, online payments 50–100 h, ERP integration 60–160 h, an AI feature 100–240 h).
  3. The sum gets +20% for project management, quality assurance and deployment.
  4. Hours × rate: a Spanish agency bills a senior at 60–90 €/h; a senior Spanish freelancer at 45–70 €/h, plus 20–30% for the coordination you do yourself. Duration assumes two to three people at 30 productive hours a week each.
  5. Maintenance is a yearly percentage of the build cost: 15% basic, 20% standard, 25% evolving — the usual industry rule of thumb for updates, dependencies and user-found bugs.

What are the phases of a custom software project?

Discovery and specification (about 12% of the effort), design (10%), build (58%), testing and quality assurance (15%) and launch (5%). Maintenance starts after launch and is budgeted per year.

The usual rule is 15–25% of the build cost per year: 15% for updates and fixes, 20% if it includes small improvements, 25% if the software keeps a steady roadmap. Hosting and cloud services come on top.
